Reports To: Campus Principal

Supervises: Assistant HR & Admin Coordinator, Admin Officer, Student Materials & Library, Cashier, Cafeteria Officer, Security and Facilities Officer, and School Bus Driver.

Summary:

The Vice Principal of Administration is a versatile and organized professional who ensures the smooth and efficient operation of human resources and administrative functions at the ZYIS campus. This role encompasses a range of responsibilities focused on creating a positive work environment, streamlining administrative processes, and ensuring compliance with ZYIS policies and Cambodian labor laws. The Vice Principal of Administration is a key player in attracting, developing, and retaining a talented workforce that supports ZYIS's mission of providing exceptional trilingual education.

Duties

  • Operational Management
  • Oversees daily administrative tasks, ensuring a well-organized and efficient office environment. Manages office supplies, equipment, and resources.
  • Prepares and distributes clear and timely internal communications, announcements, and updates to staff members. Maintains open channels of communication with campus leadership and other departments.
  • Assists in planning and executing school events, meetings, and activities, ensuring logistical needs are met and that events align with ZYIS's values and mission.
  • Financial Oversight
  • Assists in preparing and monitoring the campus budget, tracks expenses, and identifies opportunities for cost savings.
  • Ensures accurate and timely processing of payroll, expense reports, and reimbursements for campus staff.
  • Prepares financial reports as needed for campus leadership, ensuring accuracy and adherence to financial policies.
  • Human Resources Support
  • Develops and implements recruitment strategies to attract qualified candidates, collaborates with the Head of HR Office on job postings, conducts interviews, and facilitates a smooth onboarding experience for new hires.
  • Serves as the first point of contact for employee inquiries, concerns, and grievances. Works with the Head of HR Offic on fostering positive employee relations, conflict resolution, and maintaining a positive work environment.
  • Assists in implementing performance evaluation processes, ensuring fairness and consistency. Provides guidance to supervisors on giving feedback and coaching employees.
  • Maintains accurate and confidential employee records, including contracts, performance evaluations, and leave records, ensuring compliance with data protection regulations.
  • Facilities Coordination
  • Coordinates with the Head of Administration Office to ensure campus facilities (classrooms, offices, common areas) are well-maintained, clean, and functional.
  • Assists with coordinating vendor services for maintenance, repairs, cleaning, and other facility needs.
  • Implements and monitors safety protocols, conducts safety audits, and reports any issues to the Campus Principal.
  • Policy Implementation
  • Ensures staff members understand and adhere to ZYIS policies and procedures, especially those related to safety, conduct, and reporting procedures.
  • Stays up-to-date on Cambodian labor laws and regulations, ensuring that the campus adheres to all relevant legal requirements.
  • Provides input and feedback on proposed HR policy revisions, helping to ensure that policies are practical and effective at the campus level.
  • General Support:
  • Provide operational support, assist with special projects, and undertake tasks as assigned.

Requirements

  • Qualifications and Skills
  • Education:
  • Bachelor's degree in Human Resources Management, Business Administration, or a related field. (Master's degree preferred).
  • Experience:
  • Minimum of 3-4 years of experience in human resources or administrative roles.
  • Experience in an educational setting is a plus.
  • Skills:
  • Knowledge of Cambodian labor laws and regulations.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in office software and HR information systems.
  • Ability to multitask, prioritize effectively, and maintain confidentiality.
  • Fluency in Khmer and English. Mandarin Chinese proficiency is a plus.
  • Strong attention to detail and problem-solving skills.
  • Strong HR, business development and professional skill.
