Job Summary: The Sales Admin Officer will provide essential administrative support to the sales team, helping to streamline processes, manage documentation, and ensure smooth coordination between the sales department and other internal teams. This role is critical to maintaining accurate sales records, tracking performance, assisting with customer inquiries, and supporting the overall sales operations.
Duties
- Assist the sales team with administrative tasks such as preparing quotations, proposals, and contracts following legally.
- Process sales orders, ensuring all necessary documentation is complete and accurate.
- Track and monitor sales leads and opportunities, ensuring timely follow-up by the sales team.
- Maintain and update sales databases, ensuring data accuracy and integrity.
- Generate sales reports and provide data analysis to the sales team to support decision-making.
- Assist in the preparation of sales presentations and customer communications.
- Coordinate order fulfilment, ensuring that products or services are delivered on time and to customer specifications.
- Assist in handling customer complaints or issues, escalating when necessary to the appropriate team member.
- Support with managing customer accounts, ensuring accurate information is recorded and updated.
- Maintain accurate records of sales transactions, contracts, and customer interactions
- Coordinate the preparation of proposals, contracts, and other necessary documentation for sales activities.
- Ensure that all sales documentation is stored in an organized and accessible manner for easy retrieval.
- Coordinate with the inventory stock of sale team
- Organize meetings, appointments, and events for the sales team, ensuring efficient use of time.
- Assist the sales team in entering leads, managing customer pipelines, and tracking sales activities.
Requirements
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- At least 1-2 years of experience in sales administration, customer service, or a similar role.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with CRM tools (e.g., Salesforce, HubSpot).
- Strong organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to work both independently and collaboratively within a team environment.
- Strong problem-solving abilities and customer service orientation.
