Job Summary:
The Site Admin Officer will be responsible for providing administrative support and ensuring the smooth and efficient day-to-day operations at the site. This role involves a variety of clerical, logistical, and operational tasks to facilitate communication, resource management, and documentation on-site.
Duties
- Manage day-to-day office functions on-site, ensuring that administrative processes are running smoothly.
- Maintain and update site records, databases, and filing systems (both digital and physical).
- Prepare reports, presentations, and other documents as required by management.
- Coordinate meetings and arrange travel, accommodations, and site visits for staff, contractors, and visitors.
- Track and manage office supplies and site inventory, ensuring that necessary materials and resources are available at all times.
- Place orders for supplies, equipment, and materials as needed, in coordination with relevant departments or suppliers.
- Monitor the use of site resources and maintain accurate records of purchases and deliveries.
- Assist with the implementation of health and safety protocols and procedures at the site.
- Ensure that site-specific regulations and compliance requirements are followed, maintaining accurate records for audits and inspections.
- Support emergency preparedness activities, including organizing safety drills and ensuring safety signage is displayed appropriately.
- Assist with the coordination of workers schedules, attendance, and payroll documentation.
- Maintain employee files, ensuring confidentiality and compliance with company policies and legal requirements.
- Support with onboarding and offboarding processes for site-based staff.
- Oversee the general upkeep of site facilities, ensuring a clean, safe, and organized working environment.
- Coordinate maintenance requests and liaise with external vendors and contractors for repairs and services.
- Manage site security and access control, ensuring that only authorized personnel are on-site.
- Act as the primary point of contact between the site and other departments, ensuring effective communication and coordination.
- Coordinate logistics for site events, meetings, and conferences.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 2-3 years of experience in an administrative or office management role, preferably in a construction or industrial setting.
- Strong organizational skills and attention to detail.
- Excellent communication (both written and verbal) and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Knowledge of office equipment and general facility management.
- Ability to manage multiple tasks simultaneously and work under pressure.
- Basic understanding of health, safety, and environmental regulations.
